Vacancy - Receptionist (Part Time)

The Receptionist role, is a job share role within the Reception Department, and will provide an efficient administrative support function to various departments (both Group and Marine) as required to agreed timescales.


Responsibilities will also include:


- Meeting/greeting visitors and ensuring they are received by the relevant departments and follow company procedures.

- Screen all incoming calls and ensure unsolicited calls are forwarded to the appropriate departmental extension number or email address.

- Dealing with all postal tasks, sorting, stamping etc. and creating appropriate purchase orders. Ordering standard stationery items for all departments and creating appropriate purchase orders. Outgoing post is ready for collection by Royal Mail each day at appropriate time and incoming post is sorted into departments for collection within 2 hours of receipt.

- Dealing with general enquiries – e.g. taxis, arrange used toner collection etc.

- Communicate at all levels and maintain positive relationships, whilst demonstrating working in a team and under own initiative.

- Monitor use of visitor parking spaces in conjunction with Police; advise if any staff cars are parked in visitor spaces.

- Make regular visual checks to ensure the Maritime Centre offices look clean and professional and any issues are logged for action as appropriate.

- Ensure the reception area is manned at all times between 08:00 and 17:30 Monday to Friday each week (except bank holidays), and sickness (when required) is covered.



Skills and Experience


- Previous office administration experience.

- Priority setting and managing a wide range of demands.

- Utilisation of software packages, including Microsoft Office.

- Previous experience with digital telephone exchange is desirable.

- Three GCSE’s Grade C or above (including Maths and English), or equivalent.
